Is Travel Pioneers Family Friendly?

What happens if I have to cancel a prepaid trip?

We understand that circumstances can change unexpectedly, our goal is to always offer our clients the highest standards of quality and service, according to our reservation policies. The following chart details our Travel Pioneers vacation cancellation policy. Please keep in mind that Travel Pioneers is also held financially responsible for tour and hotel provider cancellations.

Special payment and cancellation terms apply for holidays and festive seasons according to our providers’ terms & conditions (i.e., Easter, Christmas, New Year, etc.). This includes a 50% deposit upon booking. Final reservation payments are due on or before September 1st. 

Under Force Majeure circumstances and analysis, Travel Pioneers may be able to provide flexible policy enforcement. Please speak with your travel agent for more information.

(**) Expenses refer to specific items that require a deposit to secure the booking. These items are not included in the non-refundable deposit.

Such expenses may include airlines, hotels, charters, and other special services. Please note that these items may have different cancellation terms than those established by Travel Pioneers, as well as black-out dates with specific policies, all of which shall be duly explained in the proposal and booking confirmation.

 

What forms of payment do you accept, and what is the payment process?

How far ahead of my travel dates should I contact Travel Pioneers?

We recommend you contact us as early as possible with your preferred dates of travel. The more time we have to plan the perfect vacation itinerary, the more likely we are to secure specific hotel and destination reservations.

COSTA RICA - Travel to Costa Rica - General Questions

What is the recommended vacation length for Costa Rica?

We recommend visiting Costa Rica for a minimum of six days. We’ll be happy to design a preliminary itinerary for you to get started. Weather

When is the best time to visit Costa Rica?

Costa Rica is fabulous year-round! There are two seasons, the green (rainy) season and the dry season. However, the climate is tropical, meaning Costa Rica is almost always comfortably warm and humid, with sunny mornings and the possibility of rain showers in the afternoons.

September and October are the rainiest months along the Pacific Coast and the interior. Nature is at its most vibrant, and animals are especially active. These are also the best months to see humpback whales and nesting sea turtles.

On the Caribbean side of Costa Rica, the most beautiful months to visit are when the rains are lightest, from June through October and January through March. The region is a lush tropical paradise, and rain is a common phenomenon interspersed with beautifully sunny days.


The green season is a great time to see wildlife in Costa Rica, and there are fewer tourists, meaning fewer crowds. The peak tourist season, from December to May, is often clear and dry, especially along the northwest Pacific Coast and in Guanacaste Province. The most popular beach towns and national parks can get crowded during the peak months and around the New Year.


The average year-round temperatures are in the upper 70s to mid-80s F (25-30 degrees C) during the day, and in the low 70s (20-25 degrees C) during the night. Because the sun’s rays are more direct in the tropics, we strongly recommend the use of sunblock.

Do you recommend Costa Rica during the green/rainy season?

Yes! Costa Rica is in a tropical climate zone, and rain is always possible no matter the season.

However, this is also the most beautiful time of year, as everything is green and lush, and wildlife is thriving. Whales and nesting sea turtles are most prolific during the green season, too – another great reason to visit during these months. And don’t forget, regions covered in cloud and rainforests experience the most rain year-round, which lends to the abundance and diversity of their animal and plant life.

Money

Can I pay with a debit or credit card in Costa Rica?

Most businesses, shops, hotels, and restaurants will accept debit or credit cards, especially VISA or Master Card. Make sure to ask ahead if they accept the specific credit/debit card you are carrying. Small towns and rural areas will most likely accept only cash as payment. It’s a good idea to always have US Dollars and Costa Rica Colones on hand when you travel.

How much cash should I carry?

Some small businesses or transportation providers won’t accept credit or debit cards, so we recommend you have at least $50 USD with you when traveling in Costa Rica and the equivalent in Costa Rican Colones. And keep an eye on the exchange rate when paying in dollars. Also, make sure to have the cash in small denominations like $5s and $10s. This way, it’s easier to pay the exact amount and avoid being scammed by an inflated exchange rate.
Cash is good for tipping in restaurants, tour guides, and transportation services, as well.

What is the tipping etiquette in Costa Rica?

Tipping for tourist-related services in Costa Rica is common and very much appreciated. Keep in mind that in accordance with Costa Rican law, service in restaurants automatically receives a 10 percent gratuity for all food and beverages purchased. If you are pleased with any other services you receive (or especially pleased with your restaurant service), a 10 percent tip is recommended.

Are there any service charges in Costa Rica?

The national 13% Value-Added Tax (often written as IVI in Costa Rica) is added to all goods and services. This includes hotel and restaurant bills. Restaurants also add a 10% service charge, for a total of 23% more on your dining bill.

Language

What if I don’t speak Spanish?

In Costa Rica, the official national language is Spanish. However, most hotels, guides, and touristic destinations will have staff that are bilingual in English. In some places, German, French, or Italian is also spoken.

Necessities for International travelers

Do I need an adapter?

Similar to the U.S. and Canada, Costa Rica uses a 110 V current, so Europeans and other foreigners should bring an adapter. Appliances that require a different current or voltage will need a transformer. The primary sockets are North American Grounded and North American Non-Grounded. If an appliance does not fit either of these, an adapter is required.

Which airport should I fly into?

Costa Rica has two international airports, the Juan Santamaria Airport in San Jose (SJO) and the Daniel Oduber Quirós Airport in Liberia (LIR). If you plan to visit the Northwest Pacific Coast and Guanacaste Province, we recommend you fly into Liberia. Otherwise, the San Jose International Airport is your best choice.

How will I find the Travel Pioneers representative when I arrive?

When you exit the airport terminal in Costa Rica, a Travel Pioneers team member will bewaiting for you. They will be wearing a Travel Pioneers uniform and carrying a sign with our logo and your name on it. We can arrange a VIP arrival service where our Travel Pioneers team members carry your luggage to the waiting transfer.

What should I pack when I travel to Costa Rica?

Because of the weather conditions and location, we recommend you bring lightweight, casual clothes that you can layer and are useful for hiking and outdoor activities. Costa Rica is full of mountains and volcanoes, so temperatures can range from hot to cold and dry to rainy. Therefore, light, quick dry, or cotton fabrics and a waterproof jacket are ideal for the tropical climate and warmer clothes and are recommended for higher elevations (Monteverde, Chirripo, Central Valley). And don’t forget your bathing suit, good walking shoes, binoculars, mosquito repellant, a sun hat or cap, swim shoes, biodegradable sunblock, medication, personal toiletries, a camera, and your favorite garment for a casual yet romantic beachfront or rainforest dinner. 

Please note that domestic flights have a 30-pound maximum luggage weight policy.

Travel Requirements

Do I need a visa to enter Costa Rica?

Citizens from the United States, Canada, and most European Union countries are automatically given a three-month tourist visa when they visit Costa Rica. Covid-19

What are the COVID-19 restrictions for traveling to Costa Rica?

As of October 2022, Costa Ricans and foreigners are not required to show proof of a negative Covid-19 test, vaccination status, or quarantine when entering Costa Rica by air or land. These requirements are subject to change.

**As of January 9 th , 2023, any person traveling from China, Hing Kong, Macao and Taiwan or that has been to any of these countries in the last 14 days should present a PCR, RT or antigen covid negative test.

Health and Security

Is tap water safe to drink in Costa Rica?

Costa Rica’s tap water is potable and considered safe to drink. However, many foreigners are sensitive to the change, and we always recommend you drink bottled water to avoid a potentially upset stomach. Many hotels will have special filters in place to ensure their water is especially clean and safe. All our clients receive a Travel Pioneers welcome package upon arrival, which includes a reusable water bottle.

Do I need Travel & Health Insurance for my trip?

Although it is not mandatory, we highly recommend that our customers purchase travel insurance to cover any potential emergency and protect their trip investment. Unplanned and costly events can happen at any time, and it’s best to be protected. Most hospitals and clinics accept international travel insurance with the required documentation.

Do I need any vaccinations to visit Costa Rica?

No mandatory vaccines are needed to enter Costa Rica. However, we recommend that travelers always refer to the advice given by their country’s local embassy or consulate.

Is Costa Rica safe?

At Travel Pioneers, we vet our destinations for safety and security. However, we highly recommend taking the following safety measures while traveling in Costa Rica.

  • Never carry large amounts of cash with you.
  • Do not carry valuables (gold, silver, expensive watches, electronics) in areas you do not know to be safe.
  • When paying, always check the bill and exchange rate are correct.
  • Never take tours offered from strangers or “unofficial sources” even though they offer a discounted price.

What should I do in case of an emergency?

In the event of an emergency, dial 911 or 128 to request medical or official help, and if needed, contact your Embassy. They will provide you with a list of doctors, hospitals, and other services.

Panama – Travel in Panama - General Questions

What is the recommended vacation length for Panama?

When is the best time to travel to Panama?

Traveling in Panama is enjoyable year-round! The climate is tropical, and it’s almost always comfortably warm and humid, with sunny mornings and the possibility of rain showers in the afternoons.

In general, the dry season from December to April is best for hiking, diving, and snorkeling because there’s less chance of heavy rain. And the rainiest months between May and November are great for river rafting and spotting wildlife. Surfing is good year-round on the Pacific side, but the best months are from November to April.

Panama City has good private hospitals and clinics. However, public hospitals and clinics do not offer services comparable to North American or European facilities. Sophisticated medical facilities outside Panama City are limited. Expect to pay cash in advance for medical services, including emergency care.

Belize - Travel to Belize - General Questions

What is the recommended vacation length for Belize?

We recommend visiting Belize for a minimum of six days, and because it’s such a small country, ten days is enough time to experience Belize’s best. When is the best time to travel to Belize?

Belize is a great place to visit year-round! One of the nicest things about the country is its weather. With an average yearly temperature of 84°F (29°C), it is always warm yet comfortable. The dry season between February and May usually has lower rainfall than the rest of the year and is a great time for snorkeling. The rainiest months are June and July, with a break in late July or August known as the “little dry.” Wildlife is usually more active, and the vegetation is lush and vibrant during the rainier months.

Hurricanes between May to November are known to impact Belize. The country is well prepared with early warning systems and robust emergency services in the event of a big storm.

Travel Requirements

Do I need a visa to enter Belize?

All travelers entering Belize will need a valid passport with an expiration date of at least six months after the date of departure. Travelers must also have a return ticket and proof of sufficient funds for the duration of their stay.

Citizens from Australia, Great Britain, Canada, the European Union, and the USA do not need a visa to enter Belize and can stay for up to 30 days for recreational purposes only. To check your visa status, please visit  https://immigration.gov.bz/visa/visa-requirements/.

Health and Security

Is the water from the tap safe to drink in Belize?

Never drink tap water in Belize and buy only bottled purified water with a proper seal. Milk is often unpasteurized and should be boiled. Also, avoid ice cream, raw fish, and anything from street vendors. Peel or cook all fruits and vegetables. Try to prevent flies from landing on your food to avoid airborne illnesses.

Do I need Travel & Health Insurance for my trip?

  • Do not carry excessive money with you.
  • Lock your valuables in a hotel safe.
  • Avoid showing the valuables (ex., camera, money, jewelry).
  • Avoid going to unsafe areas in big cities, especially at night.
  • Never leave your luggage unattended.
  • Never take valuables with you to the beach and leave them unattended while swimming.
  • Park your rental car in guarded parking lots, and do not leave valuables in the vehicle. 
  • Keep valuables on the car floor and/or out of sight.
  • Carry a copy of your passport showing the photo page and the page containing the Belize entry stamp and leave your original passport in the hotel safe.
